How to Pack and Send Photos, Slides and Negatives

Packing Tips

Preparing and organising your Photo Prints for shipment to iPhotoScan is simple and straight forward.

Gather and organise photos into groups of 100 to 200 photos. Generally, a stack of 100 photo prints will be about 2 to 3 cm high. If possible, group similar size photos in the same group. While this is suggested to provide maximum protection against the possibility of corners bending during shipment – it is not required. Adding stiff cardboard together with larger prints is an alternative.

Ideally each group of photos should be placed in a plastic food bag, or similar, and sealed. Original photographic prints may range in size from 2.5 x 2 in. up to 8.5 x 34 in. (63.5 x 50 mm up to 215 x 863 mm), and ideally be free of any backing or mounting materials (original photographic paper only). Pack tightly in larger box(es) while protecting from moisture with a single layer of bubble wrap or plastic inside the shipping box and additional packing material as necessary to protect during shipment.

Photo Slides & Negatives to Digital

What types of photo slides and negatives are scanned by iPhotoScan?

35mm Slides

35mm Slides are individual 35mm Negatives housed in a 2″x 2″ mount. The mounts are usually made of plastic or dense cardboard. The size of the frame that displays is usually 23mm x 34mm (tall x wide) depending on the manufacturer.

110 Negatives: (also referred to as Instamatic)

110 film was created for Kodak Instamatic cameras in 1972. Each individual frame is 13mm x 17mm (tall x wide) and contains one registration hole or perforation.

110 Slides

110 Slides are individual 110 Negatives housed in a 2″x 2″ mount. The mounts are usually made of plastic or dense cardboard. The size of the frame that displays is usually 12mm x 16mm (tall x wide).

APS Negatives (also referred to as Advantix)

APS stands for Advanced Photo System and was developed by Kodak in 1996 to give photographers the option to shoot in three photo sizes. Below are the definitions for the three photo size options.

H = “High Definition” C = “Classic” P = “Panoramic”
Film Size: 30.2mm x 16.7mm Film Size: 25.1mm x 16.7mm Film Size: 30.2mm x 9.5mm
Print Size: 4″x7″ Print Size: 4″x6″ Print Size: 4″x12″

APS Negatives come in a long plastic cassettes. Numbered symbols (called ‘visual indicators’) on the cartridge end indicate the status:

  • Full circle: Unexposed
  • Half circle: Partly exposed
  • Cross sign: Fully exposed but not processed
  • Square: Processed

*Important Note: Please only send processed APS cassettes where the square is selected. See images below.

Disc Film

Disc film is in the form of a flat disc, and is fully housed within a plastic cartridge. Each disc holds 15 exposures, where the disc is rotated 24° between every image. Those fifteen 11mm x 8mm images are arranged around the outside of the disc. This type of film was developed by Kodak in 1982 but was discontinued in 1998.

126 Instamatic (also referred to as Instamatic)

126 is the number given to a cartridge-based film format. It was introduced by Kodak in 1963, and is associated mainly with low-end point-and-shoot cameras, particularly Kodak’s own Instamatic series of cameras. Although 126 were once very popular, as of 2006 it is no longer manufactured. The frame size is 28mm x 28mm and has only one perforation at the bottom.

126 Slides

126 Slides are individual 126 Negatives housed in a 2″x 2″ mount. The mounts are usually made of plastic or dense cardboard. The size of the frame that displays is about 26.5mm x 26.5mm (tall x wide).

120 Medium Format

The most common medium format film is 6cm x 6cm with a frame size of 56mm x 56mm. The number of the frame is usually printed on the top or bottom of the frame. Medium format is often used by professional photographers because it offers higher image resolution than traditional 35mm (135) film. Other medium format sizes included 6cm x 4.5cm, 6cm x 7cm, 6cm x 8cm and 6cm x 9cm.

Large Negatives

Large Negatives refer to negatives with dimensions larger than 120 film (2.25″ x 2.25″) up to 4″ by 5″ dimensions. In general, because of the size of the negatives, a lower resolution scan is sufficient. We scan large formatted negatives at 1000 dpi or 2000 dpi.

Large Transparencies

Large Transparencies are thin sheets of transparent flexible material, typically cellulose acetate, onto which figures can be printed or drawn. These are then placed on an overhead projector for display to an audience. Large transparencies are typically the approximate size of a legal sheet of paper 8 ½” x11″, however they can range in various sizes.

These packages cover any combination of slides and negatives (maximum of 6 frames per strip).

  • Do I need to count my slides & negatives?

No. We simply ask you to estimate how many slides and negatives you have and select the package that comes closest. The package allows you to submit up to the maximum number of photos for a given package. That means you know the exact total cost prior to committing to a purchase. Our flat-rate package model simplifies the process and translates to less hassle for you and translates into savings, without sacrificing quality.

We process all the slides and negatives you send and will scan up to the maximum for the package you ordered. If there are negatives you wish not to have scanned on strips or rolls, you may cut those from the film and not included those in your order. Be sure that all remaining negatives are at least two continuous frames – single frames may incur a small additional charge.

  • How do I estimate the number of slides & negatives I have to be scanned?

For slides in standard cardboard or plastic mounts, use the rule-off-thumb of 25 slides for 1 inch (stacked or filed vertically). Negative strips typically contain 6 frames per strip while rolls are usually 36 or 24 frames.

  • What if my estimate of the quantity of slides or negative frames is off?

If your estimate is slightly off and you submitted more slides or negatives than the package you selected, your order is processed without delay – all the images submitted are scanned and delivered safely back to you in the course of our normal fulfilment process. Similarly, if your estimate is slightly under the package maximum your order is processed without delay and without adjustments for minor variations. All our packages allow you to submit up to the maximum quantity of photos and provide the best value when you come closest to the maximum quantity.

If you submitted significantly more slides or negatives than the package ordered, we will contact you with the option to cover the overage with smallest package sufficient to cover the overage, providing you with the best possible value. You may also elect to have us complete the order according to your original selection and incur no incremental fee, returning your photo as submitted.

  • Do I need to remove my slides from trays and carousels?

No. If you can’t quite get motivated to empty those old slide carousels and trays or don’t want to remove your slides from sleeves or slide pages in a book, we will process slides directly from your carousels, projector trays, and slide pages. We remove your slides, scan them and return both the slides and carousels, pages, trays (separately) with your new digital images.

Don’t want the carousels back (slides alone store in about 1/10th the space)? Simply enter “keep carousels” in your online order comments field when placing an order.

  • What is the best way to organise, pack and ship my slide or negative collection?

When sending slides in carousels, keep in the original boxes and pack tightly in larger boxes while protecting from moisture with a single layer of bubble wrap or plastic inside the shipping box.

Removing slides from carousels, trays, slides pages and cartridges allows for effective  organisation and efficient shipping. But prior to packing, we suggest you determine if image file sequence and ordering are important on the media (DVD or USB Key) you receive from iPhotoscan. Keep in mind, once you receive your newly digital photos you can copy them to your computer, make multiple backup copies and rename, re-sort and reorganise your digital images using a variety of methods and tools.

If initial image sequence is important, organise slides in groups of 50 to 100 slides and assign a value and/or a short description to each group. We suggest the values and descriptions you select naturally sort to the order you desire. For groups of 50 or more slides, iPhotoscan will create the image file name based upon the values/descriptions (25 characters or less) you assign. For example:

    “01 1982 Lake District 001″,    “01 1982 Lake District 002″, ……….    “01 1982 Lake District 051″

Tagging groups and indicating a start slide (or “top”) for each group is all that’s required. Groups can be bundled with rubber bands and placed in plastic bags or loosely placed in plastic bags with a tag per bag. Empty foil or wrap cartons can also be used to easily sequence and tag slides. Sequencing and file naming requires documenting the request in your online order comments field when placing your order online.

  • What about scan resolution and scanning dpi options for slides and negatives?

All slides and negatives packages include 3200 dpi as standard, which produces high quality images for viewing and sharing online and is suitable for printing images up to about 14” x 9” (at 300 dpi print output), in excess of A4 size. If your original slides and negatives are in excellent condition, were shot with professional equipment or you plan to print enlargements up to about 12” x 18”, upgrading to 4000 dpi will likely produce the most versatile, archival digital image, around A3 size.  See file sizes below:

  • What digital file format will I receive and can I edit the images

We deliver high resolution, high quality JPEG image files that can be copied, edited, reorganised and used for just about anything imaginable. They can be freely shared online, backed-up locally or to the cloud and used again and again for creating personal photo gifts and photo books.

The JPEG (Joint Photographic Experts Group) format is the most popular and versatile digital format in use. Nearly all digital image devices support this format. Cameras, digital photo frames, printers, photo kiosks, online personal photo gift providers, mobile phones to name a few all support JPEG. Similarly, photo related services like digital printers, online hosting and sharing sites, online forums, blogs, scanning and restoration services all use and support JPEG.

For Slides and Negatives, we also offer a “TIFF Pro Option”. When selected, we will deliver both JPEG and TIFF files. These TIFF files are minimally processed images for photographers that plan on editing the scanned images themselves. These files will often appear ‘flat’ and lack the contrast of the JPEG files that have been enhanced and colour corrected for viewing. The TIFF Pro Option includes a Mobile Drive (excludes 250 package) with the necessary capacity to store and transfer the significantly larger TIFF images

    Cine Film Identification

8 mm film is a motion picture film format in which the film strip is eight millimetres wide. It exists in two main versions — the original standard 8 mm film, also known as regular 8 mm, and Super 8. Although both standard 8 mm and Super 8 are 8 mm wide, Super 8 has a larger image area because of its smaller and more widely spaced perforations.

    Super 8 & Standard 8mm Reel Differences

Another easy identifiable difference between Super 8 and Standard 8mm film is the size of the central hole in the reels.

    MiniDV

MiniDV is a digital video tape cassette format.  It was launched in 1995 through the joint efforts of leading producers of video camera recorders. MiniDV was a popular format for camcorders, and allowed manufacturers to reduce the size of their video cameras significantly.

Common Tape lengths are 60 and 90 minutes. We charge the for 60 minutes rate for lengths less than this.

We back up to our Cloud Service as standard but optionally can also copy to DVD and USB Key, check out the MiniDV shop page for more details.

    Video8, Hi8 and Digital8

The 8mm video format refers informally to three related videocassette formats for the NTSC and PAL/SECAM television systems. These are the original Video8 (analogue recording) format and its improved successor Hi8 (analogue video and analogue audio but with provision for digital audio), as well as a more recent digital recording format known as Digital8.

Similar to MiniDV, common Tape lengths are 60 and 90 minutes. We charge for 60 minutes rate for lengths less than this.

We back up to our Cloud Service as standard but optionally can also copy to DVD and USB Key, check out the Video8, Hi8 and Digital8 shop page for more details.
